How does your business scan today?

You’ve surely graduated from the type of scanner that you use at home to scan pictures of your kids.  Most businesses have even invested in the technology that allows their copier to scan a document back to their desks in a PDF format.  As wonderful as these capabilities are, there are still a few limitations that continue to impact productivity.

- Typing an entire email address on a 6” touchscreen is no easy task
- Emails sent from the copier are anonymous (i.e.  canoncopier@yourcompany.com)
- There is no audit trail or tracking of emails sent from the copier (this is a huge concern since 24% of US businesses have had their email server subpoenaed in the past 2 years)
- Most people end up scanning their documents back to themselves before sending them out which has two inherent problems:
            1.         It’s a two step process
            2.         Creates two copies of the scanned image on the email server

  - Scanning to a single network folder (probably called “Scans”) also creates issues:
            1.         You have to figure out which randomly-named file is yours
            2.         A multiple step process is required to put a file in its final destination
            3.         Unless a standard scanning procedure is enforced, the “Scans” folder becomes massive (files aren’t deleted because you’re not sure whose they are, if they’re still needed, etc.)
 
A new software suite from eCopy called ShareScan Essentials is the answer to the problems above, and is a must for any future technology purchases.
